Role Description | The role of the receptionist is to be a member of the team contributing to the smooth running of the practice by ensuring that all enquiries from patients, in person or by telephone, are handled efficiently and courteously. Record keeping and distribution of documents should be undertaken efficiently and promptly. The role involves liaison with the doctors and other members of staff in a clear and logical manner. Primary Responsibilities: To welcome patients and others to surgery To prepare for each surgery, ensuring consulting rooms have been put in order To give such assistance to the Doctor and Nurse as may be requested to ensure the smooth running of surgeries. To book appointments for patients calling at the surgery and by phone and making C contact with patients when there is a need for appointments to be rebooked To deal with telephone calls which do not involve booking appointments you are expected to handle such calls dealing with administration matters and giving sensible advice to patients. To prepare repeat prescriptions and to take details of prescriptions required without appointment, checking allergy details. To register new patients, handing out practice details and booklet to new regular patients and make arrangements regarding an initial health check for new patients. To open incoming post, date stamping on receipt and scanning at after post has been seen by doctor. Prepare outgoing post as necessary. To arrange transport when patients are hospitalised To file away any notes that have been needed for consultations and to file correspondence and results into patient notes. To open and close the surgery premises when required to do so ensuring adequate security is maintained To operate the computer as and when necessary, referring to Emisweb / IT Helpdesk for advice when breakdowns occur. To receive patient specimens and place for collection by health service courier desk To carry out additional sessions to cover for holiday and sickness absence of other staff To keep confidential the affairs of the practice and its patients To observe Practice Guidelines on Health and Safety File the computer record of scanned post to patient computer files To develop this job description in consultation with the practice manager |
